The tools that used to separate venture-backed companies from everyone else are now a few clicks away for a business of one. Here's how to actually use that shift — from a conversation with RubeTech Partners Principal Dan Rubenstein.
For years, the advantage of scale belonged to companies with headcount — more people to answer phones, chase bids, and manage the admin work that keeps a business running. That advantage is disappearing. Agentic AI now lets a single operator run workflows that used to require a small team, which means the businesses that figure out how to use it well are the ones that will out-execute much larger competitors.
"If you are not a technology company today, you will not be a company tomorrow," says Dan Rubenstein, Principal at RubeTech Partners. It doesn't matter what you sell. The businesses winning right now aren't necessarily the most innovative — they're the ones applying AI with intention instead of ignoring it or bolting it on as an afterthought.
Most solopreneurs believe their business is well run. What they don't see is the 80/20 problem: 80% of their time should go toward revenue-generating work, and 20% toward admin. In practice, it's flipped. Admin work eats the calendar because it's unfamiliar, resource-starved, and always "has to get done" — even when it shouldn't take as long as it does.
The instinct to fix this is usually to buy a tool. That's often where the second problem starts: technology decisions made reactively, without a strategy behind them, create tech sprawl — a pile of disconnected apps that don't talk to each other and no clear source of truth. Rubenstein sees this constantly: too many tools, and the wrong ones that don't talk to each other.

A real example: One RubeTech construction client ran bid estimation entirely by hand — soliciting bids from up to 21 trades per job, collecting responses by phone and email, then manually compiling everything into a spreadsheet. That process used to consume dozens of hours per job. RubeTech built an automated workflow that routes bid requests to the right subs by email, phone, and text, then uses an AI agent to synthesize and rank the responses for the project manager. The same process now takes about 30 minutes.
Solopreneurs tend to fall into one of two camps on AI: it's overhyped, or it's coming for what makes them valuable. Rubenstein pushes back on both. AI augments people — it doesn't replace them, and it never replaces the trust that closes a deal or brings a customer back a second time. What it does replace is the manual grind: onboarding, ad optimization, data synthesis, and the administrative weight that keeps solopreneurs out of revenue-generating work in the first place.
