How an AI Context Engine Finds, Bills and Collects Missed Revenue

Written by Daniel Rubenstein | Oct 15, 2026, 3:41:29 PM

ACE is an AI context engine that connects to every system in a company's tech stack, builds a knowledge graph of how the business actually runs, and layers inference and AI agents on top. For organizations whose clinical or service records live in one system and billing lives in another, ACE can audit every invoice, recapture missed charges and follow through to payment, without adding headcount.

The challenge: revenue that slips between disconnected systems

Most organizations run on systems that were never designed to talk to each other. In healthcare and veterinary settings, clinical records live in the EMR and billing records live in a separate billing system. People create both, and people make mistakes.

The most common mistake is simple and expensive: a patient receives a full workup, but only part of that workup makes it onto the invoice. RubeTech has seen this firsthand with a home health client, and a multi-location specialty veterinary practice recently came to us with the same problem.

"If you're an organization operating at any type of scale, you're just not going to be able to get through that number of records with any degree of accuracy. You won't get to the volume, and you won't be accurate in capturing what has been lost."

Dan Rubenstein, Managing Partner, RubeTech Partners

Finding those gaps by hand requires someone who understands both the clinical and the billing side, and even then, a manual review can only cover a sample. The rest of the missed revenue stays missed.

The billing gap is a symptom of a bigger issue. In most growing organizations, clinical data sits in one platform, financials in another, HR and scheduling in a third, and CRM data is either missing or living in a spreadsheet. Leadership teams end up talking about the business instead of looking at it.

The approach: a bespoke implementation built around outcomes

ACE is not off-the-shelf software with a fixed set of connectors. Each implementation is built around the client's processes and data. A business process consultant, an engineer and a UX designer work together to learn how the organization runs, map where its data lives and connect every relevant system to ACE.

"Tell me about your process. Tell me about your company. We're going to learn it intimately. Now tell me where all your data is. Then the engineer connects all those systems to ACE, and we start showing you intelligence on your company that you never had before."

Dan Rubenstein

Most of the effort sits with RubeTech, not the client. ACE sits on top of the existing stack, so there is no rip and replace and no training program for staff. A typical rollout takes about 30 days. Older systems without modern APIs can take longer to connect, but they can still be connected.

The solution: one connected workflow from audit to payment

Because ACE is connected to both the EMR and the billing system, it understands in context what should have been billed for each service. That makes the full revenue workflow possible, not just the first step.

1. Invoice audit

ACE reviews the entire billing history against clinical records and flags every service that was performed but not billed, or billed incorrectly. Outcome: lost revenue is found.

2. Revenue recapture

A recapture agent creates the corrected invoice and posts the new receivable. Outcome: lost revenue is actually billed.

3. Payment follow-through

A payment agent reaches out by text or voice with a payment link for each newly created invoice. Outcome: the organization gets paid for the work it already performed.

"ACE isn't software built for a particular purpose. It's software built with a particular outcome in mind, and any outcome is possible."

Why a context engine works where point solutions don't

At its core, ACE does three things: it unifies data and intelligence, applies inference to that data, and deploys agents that act on it. Its knowledge graph pulls data from every function into one centralized intelligence layer, which can take the place of traditional BI tools like Power BI or Tableau that take significant effort to stand up and maintain.

The bigger difference is who the AI serves. Giving every employee their own AI account mostly produces individual productivity gains. ACE is enterprise-wide by design.

"AI deployed to the individual user in an enterprise is not effective AI. AI deployed to the organization is effective AI for the enterprise."

Dan Rubenstein

Executives get a holistic view of the business, governance over how AI is used, and the ability to deploy agents across the organization. Frontline teams get AI support built into their work, without having to figure it out on their own.

Beyond billing: the same engine, any function

Revenue recapture is one outcome. Because ACE connects to every system, the same foundation supports use cases across the business:

  • Marketing: respond to attribution data in real time instead of 30 days later, lower acquisition costs and adjust campaigns on the fly
  • Sales: pinpoint why one team is stagnant while another grows, whether it is team makeup, call behavior, CRM hygiene or the offer being sold
  • Operations, finance and HR: surface the cross-functional patterns no single system can show on its own

Who gets the most value from ACE

ACE is built for larger SMBs through enterprise organizations that have enough data that manual analysis no longer works. It is especially valuable for companies that feel stuck on hard problems, or that do not yet have a chief data officer, CTO or chief revenue officer to solve them. It is not designed for early-stage startups that are still generating their first meaningful data.

"Butts in seats used to win. They don't anymore. It's intelligence and agents."

Dan Rubenstein

Frequently asked questions

What is an AI context engine?

An AI context engine connects the systems a business already uses, organizes that data into a knowledge graph that reflects how the business operates, and uses AI inference and agents to surface insights and take action. ACE is the context engine RubeTech Partners implements for its clients.

How does ACE help with invoice audits and revenue recapture?

ACE connects to both the system of record for services delivered, such as an EMR, and the billing system. It compares what was performed against what was billed across the full history, flags gaps, creates corrected invoices through a recapture agent, and sends payment links through a payment agent.

How long does an ACE implementation take?

Most implementations take about 30 days. Organizations with older legacy systems may take longer because those systems require additional work to connect.

Does my team need training to use ACE?

No formal training is required. ACE sits on top of the existing tech stack, and teams interact with it when they want to see or act on their data.

Can we build something like ACE ourselves with an AI tool?

Not easily. ACE's knowledge graph and context architecture are purpose-built and cannot be replicated by prompting a general AI assistant or vibe coding an app. That depth of context is what allows ACE to work across every function of the business.

Is ACE a fit for small businesses?

ACE is best suited to larger SMBs through enterprise organizations. Very early-stage companies typically do not yet have enough data for a context engine to add meaningful value.
